Step 7. Documents in task performance of transportation company

Documenting of tasks is one of conditions for their successful accomplishment. Documents are necessary for the employee because when he carries out assigned tasks, he needs such documents as contract, purchase order and documents that define method of transportation, terms, etc. The availability of the task documentation allows managers of transportation company to analyze actions of employees, and so to organize management of their task performance. In VIP Task Manager you can attach documents to tasks, save task notes and export task list view to MS Excel.

Attachment and Notes

VIP Task Manager allows to enclose any file to tasks or set path to the file. When you create an attachment you may choose attachment type:file or link. For example, when Sales Agent begins to work with customer, he can use task attachment and enclose the following files to the task "1.Contacting the customer": Commercial offer, Purchase order, Contract. Also Sales Agent can add link to the customer's web site.

The task attribute "Notes" can be applied to describe "step by step" Sales agent's actions for the task performing. VIP Task Manager allows to print out tasks with their notes.

Task list view in Excel format

In VIP Task Manager an employee of the transportation company can export task list view to MS Excel format. This feature allows employees to perform task list offline without being entered into VIP Task Manager. For example, Forwarding Agents usually solve shipment issues in port and so they are often out of the company office. They can export their task list views to MS Excel, print them out and take hard copy to the site.
