Step 9. Reporting real estate agency tasks

If the head of department or director wants to manage his staff efficiently, he needs to get reports for analyzing, managing and developing the department. Reporting is a way for internal control and evaluation of the real estate agency activity. VIP Task Manager allows building, sending and printing out reports in text or graph view.

Building reports in text view.

In VIP Task Manager you can build reports in RTF and HTML formats. When you building report on the task (group) you can select which tasks parameters will be included in the report (attachment, notes, comments, etc.). For example, realtor must report status of deal with client John Smith (task group "John Smith"). The report may include the following fields: client's name, realtor's name, "Estimated time", "Actual time", "Date started" and "Date finished". The custom fields "Property price", "Property address", "Type", "Rooms" and "Square" are also included. This report can be printed out or saved and then sent by mail or mail to the head of Sales department.

Exporting task view to MS Excel.

Besides building reports in text format you can get tasks in MS Excel by using feature "Export View to Excel". For example, the head of Sales department is away from the real estate agency office but he needs task report urgently. In this situation realtor can export task view to Excel, save Excel file and then send this file by email to the pocket PC of the head. So the head can be in the swim even if he is not in the office and does not have access to VIP Task Manager database.

Building reports in graphic view

In VIP Task Manager the activity of the real estate agency can be represented in charts or diagrams. For example, Director requested a report on realtors' performance and how they execute their plans. Director probably does not have time to read and analyze text reports. So the head of Sales can generate chart that compares sales plan and sales volume per realtor. The panel "Charts" has print function so the chart can be printed out.
