Step 7. Documenting real estate agency tasks

When doing their job the real estate agents as well as appraisers and legal experts may need to get their tasks documented. In VIP Task Manager there are the following ways for task documenting:

  • applying task attributes "Note" and "Attachment"
  • applying "Export task view to HTML/Excel"

Task attributes "Note" and "Attachment".

While creating a task, the real estate agent can specify and describe it using "Notes". For example, the agent works at the tasks "1. Find out the client's preference" and "2. Prepare property photos and advertising materials". He can get the tasks more convenient and helpful if he enters some information in "Notes" tab. For the first task the realtor specifies details of the client's preferences and the second task is divided into several describing items. The notes could be also helpful when sending the task by email or printing out it. The tab "Notes" might be applied to show "step by step" employee's actions for task performing.

When doing the task "2.Prepare property photos and advertising materials", the realtor can use task attribute "Attachment" to enclose photos and pictures of the property. The attachment could be a file or link to a file (or web address). When attachment has type "file", VIP Task Manager stores this file in the database. The type "link" saves the path to the file. Links to the files could be applied as a catalogue for photos and pictures of different properties.

Export task view to HTML/Excel

Task view could be exported to Excel or HTML formats that allows employee of the real estate agency to continue performing his tasks being away from his desktop and not having access to the VIP Task Manager. For example, Director creates and assigns new tasks to Appraiser and sends Excel or HTML file to his email box.

When the real estate agency Director does not have access to the agency database because of his business trip, he can print out task view using Print Preview and have task list being away of the office.
