The main stages of purchasing process are to provide the delivery of the product that meets the requirements and conditions of the company in time, to inform the department-requester that the product is already in-stock and to clear for what was actually delivered. If something is wrong with product delivery, it should be timely discovered and corrected. Otherwise there is a chance to face time and money loses that are caused by different problems.

Not right product, not at right place and not at right time

While ordering the product, both parties discuss the terms, methods and the time of delivery. But it isn’t to be expected that there will be no problems with the performance of each delivery requirement.

  • Create a new task “Order 1”.
  • Enter product quantity, delivery terms, time, method, place and other information into task custom fields
  • Assign this task to appropriate employee who is capable to control the delivery of purchased product
  • Attach any required files to this task that will help assigned team member to know his/her task better
  • Set reminder to pop-up when it’s time to use other supplier’s service if something is wrong
  • Set reminder to pop-up at the date of product delivery
  • Change task status to ‘Completed’ when the product is accepted and requester and other concerned parties will receive notification about it
  • At any moment orders and their attributes can be tracked and compared with received invoice
